Microsoft 365 for Faculty-Staff

Think of it as your familiar Microsoft Office, only better. Microsoft 365 is the same Office you already know and use every day. And then some. Because Microsoft 365 is powered by the cloud, you can get to your applications and files from virtually anywhere—PC, Mac, and tablets—and they're always up to date. Same goes for updates to features—you get them automatically.

Microsoft 365 includes online versions of Word, Excel, PowerPoint, SharePoint, Sway and OneNote plus Teams and SharePoint and OneDrive (cloud-based storage). In addition to the online versions, you have the option to download these applications on up to five different devices. See the Microsoft 365 applications section below for more information.

Faculty and Staff have access to the following features:

• 1 Terabyte of OneDrive space: Easy-to-use cloud storage.  Drag files from your computer, tablet, or phone directly into your browser to store them safely in the cloud
• Online versions of Microsoft web apps (Word, Excel, PowerPoint, Outlook, OneDrive, OneNote). These can be access from any computer, anywhere.
• Option to install Microsoft Office apps (Word, Excel, PowerPoint, Outlook, and OneNote) on five different devices FREE.

Additional Capabilities Include:

• Office Mobile including both iPhone & Android (subscriptions for up to 5 devices),
• Web Conferencing
• Audio Calls (chat)

Things to note:

• To check your OneDrive quota go to the Gear (top right corner), click on Site Settings, click on Storage Metrics from the Site Collection Administration
• a maximum of 2GB files can be uploaded at a time
• Think of the OneDrive space as another storage space for your use.
• Sensitive Lawrence University information such as student names, ID numbers, and social security number should NOT be stored in the OneDrive.
• When you depart from Lawrence, you will no longer have access to your Lawrence email account.
• When you depart from Lawrence, you will no longer have access to the Microsoft 365 apps or the OneDrive cloud storage.

Accessing Office 365

1.  From your favorite browser (Firefox, Safari or Chrome) go to: https://webmail.lawrence.edu/
2.  Click on Office 365
3.  Enter your Lawrence username@lawrence.edu (i.e., smithj@lawrence.edu) and password, click Login

Microsoft 365 apps (Outlook, Word, Excel, PowerPoint, One Drive, Teams, SharePoint Communication sites and much more are available for free to the Lawrence University Community.

Note: The availability of these applications and the OneDrive storage space is contingent on your student enrollment or employment with Lawrence. Upon graduation from Lawrence or end of your employment, these applications will no longer be available to you on your device.

The Microsoft 365 applications can be installed on up to five devices. To download follow the below steps:

1. At your computer go to https://webmail.lawrence.edu, click on Office 365
2. Login with your username as follows: smithj@lawrence.edu and your Lawrence password.
3. Once you have logged into your Microsoft 365, the Apps will appear at the top of your webpage or click the app launcher from the top left corner to see.
4. To download your Office Suite click "Install apps" from right edge. Choose from Microsoft 365 apps or other install options (use this for Apple options). This gives the option to install one single application or simply install the entire Office Suite on your computer.
5. Go through the install process. Follow on screen instructions for setting up your applications.
6. After installation is complete start Office and sign in with your username@lawrence.edu and network password.

OneDrive for Business is a personal library intended for storing and organizing your work documents. As an integral part of Office 365 or SharePoint Server 2013, OneDrive for Business lets you work within the context of your organization, with features such as direct access to your organization’s address book.

Note:  OneDrive for Business is different from OneDrive, which is intended for personal storage separate from your workplace. OneDrive for Business is also different from your team site, which is intended for storing team or project-related documents.

Microsoft Teams is the messaging, file sharing, and collaboration tool available to all Lawrence employees and students in Office 365. Teams is a great tool for collaboration within departments, committees, and other working groups.

Who can use Microsoft Teams?

Teams is available and automatically enabled for students, faculty and staff.

Accessing Microsoft Teams

You can access Teams on the web by going your Lawrence Office365 account and logging in with your shorten Lawrence email address (username@lawrence.edu) and password.  You can also download the Windows or Mac app from there.

From your mobile device, you can install Microsoft Teams from the app store and sign in with your Lawrence credentials.

Creation of new teams must be done by Technology Services to ensure data security/privacy of university data.  Employees can request a new team by sending an email with the below information to helpdesk@lawrence.edu.

Please include:

•     the desired name of your team
•     a brief summary of the use.
•     names of members of the Team
