Report Email Spam

If you are receiving a lot of email spam please consider reporting it to Technology Services. This will help us fine-tune our spam filters settings to remove the spam before it gets to our INBOXs. Note - We only want what made it to your INBOX. If it is already in the Junk folder, our filters did their job!

To report spam please do the following:

From Outlook:

  1. From your Lawrence email click New Message.
  2. Address message to luspam@lawrence.edu
  3. Add the subject line: Spam Mail
  4. From your INBOX click and drag the spam emails into your message to luspam email.
  5. Click Send.

From Webmail:

  1. From your Lawrence email open an new message in a separate window (by clicking the little multiple window icon in the upper right corner.)
  2. Address message to luspam@lawrence.edu
  3. Add the subject line: Spam Mail
  4. From your INBOX click and drag the spam emails into your message to luspam email.
  5. Click Send.

 

Option 1: Webmail

For Faculty/Staff

Webmail is Lawrence University's web-based e-mail client. Webmail allows users to access their Lawrence email from any computer (on or off-campus) with an active Internet connection and a functioning web browser. Webmail is convenient because it does not require you to reconfigure your personal email client.

To access Webmail: Open a web browser such as Chrome, Firefox, or Safari, and go to: http://webmail.lawrence.edu
Enter your LU network username with the @lawrence.edu added to the end and network password.

For Students

Lawrence offers a Web-based email client called WebMail. Check it regularly—even if it means forwarding it to your current personal account—because Lawrence faculty and staff will start sending critical information to that account immediately.
Logging into your email account:

  1. Navigate to: https://webmail.lawrence.edu/
  2. At the Sign-in box, enter your username with @lawrence.edu added to the end of it (i.e. smithj@lawrence.edu)
  3. At the Password field, enter the password you created upon activation of your account
  4. The Security info page will display to setup your Dual Factor Authentication Security.
  5. Technology Services suggests setting up two methods. You MUST setup at least one. 

Your choices are:

• Microsoft Authenticator App - Technology Services recommends this option to be setup as your DEFAULT sign in option.   This option requires you to use the app on your smart phone.
• Phone – call or text
• Alternative Phone
To setup the Microsoft Authenticator app you will need both your mobile phone and a computer available as you will be working between the two devices.
1. From the computer: click Add Method and select Authenticator app. Click Add.
2. The system will prompt you to get the app for your smartphone. Use your phone’s app store to find and install the latest version of the Microsoft Authenticator app from Microsoft.
3. After the app is installed click Next on the computer to continue setup.  Follow the instruction on the computer to finish setting up the Authenticator app on your phone.  Note, you will need to allow the app to use your camera to scan the QR code.

Note: To protect your privacy, WebMail sessions close automatically after 15 minutes of inactivity. You can access WebMail on or off campus directly at  https://webmail.lawrence.edu/.

Option 2: Mobile Devices

Mobile Device (Faculty/Staff)

Technology Services strongly recommends the use of the Outlook email application on Apple and Windows computers as well as on all mobile devices.  Non-Outlook email clients may not properly support the necessary security configuration and may not work optimally or at all, instead use the Outlook app. From either an iPad/iPhone or Android download the Outlook app.

Apple or Android Devices:

  1. From an Apple Device go to the App Store and download the Microsoft Outlook app
  2. Open Microsoft Outlook app on your device
  3. Type your email address, username@lawrence.edu
  4. click Add Account
  5. at the Open Authenticator prompt Open Authenticator
  6. Enter your Lawrence password and click Sign In

 

 

 

Mobile Devices (Students)

Each mobile device is a bit different in it setup of email accounts. Below are the settings to setup your Lawrence email and calendar.

BEST BET: Use the Outlook app. Can be downloaded from Apple or Android devices.
iPad/iPhone setup:

  1. Go to Settings - Mail, Contacts, Calendars - Add Account - Exchange
  2. In the Email field enter: your email address
  3. In the Password field enter: your LU password, click Next
  4. In the Domain field enter:  lawrence.edu
  5. In the Server field enter:  outlook.office365.com
  6. In the Username field enter:  username@lawrence.edu  ( smithj@lawrence.edu)
  7. Skip the Password field if fill out previously, click Next
  8. Select the features you’d like to sync, click Save


Android setup:

  1. Go to Settings - Accounts - Add Account - Email (for newer versions of Android choose Corporate Version)
  2. In the email address field enter your username@lawrence.edu
  3. In the password field enter your Lawrence email password.
  4. Select Manual Setup - Microsoft Exchange ActiveSync
  5. In the Domain\Username field enter: lawrence.edu\username@lawrence.edu
  6. Skip the Password field as it should already be filled in.
  7. In the Exchange Server field enter: m.outlook.com. (If m.outlook.com is not accepted try lumail.lawrence.edu)
  8. Check that use SSL is checked, click Next
  9. Select options for the content you’d like to sync, click Next
  10. After Naming your account, finish the setup on your account.
  11. You will be warned about the app needing administrator rights on your device.  Select activate to complete the email configuration successfully.


Windows Phone/RT:

  1.     Go to Mail.
  2.     Go to Settings - Accounts - Add an Account
  3.     Select Exchange from list.
  4.     For the email address field enter your username@lawrence.edu (smithj@lawrence.edu)
  5.     For your password enter: enter your Lawrence email password.
  6.     Click Connect.

From other types: From the account setup enter the following settings:

  1. Select the Corporate/Exchange email account
  2. Enter your full LU email address
  3. Enter your password.
  4. If there is not a separate Domain field, enter your username as Viking\username. If a separate Domain field exists enter just your username and then in the Domain field enter Viking.
  5. Enter the Server: m.outlook.com (Note, depending on device it may be necessary to enter the full path of the server as: https://m.outlook.com)
  6. Check the Use SSL box.

Option 3: Outlook from Off Campus

Outlook for Windows from Off Campus (faculty/staff)

If this is the first time you have opened Outlook then a profile will automatically be created. If you have already been using Outlook for another account go to File - Add Account to add additional accounts.

1.   At the Create Profile window enter a profile name, i.e. LU email






 

2.   At the Add New Email Account window fill in your name, Lawrence email address (username@lawrence.edu) and your Lawrence email password.

Outlook for Mac from Off-Campus(Faculty/Staff)

  1. Open the Outlook program
  2. Click Outlook (upper-left by the apple) and then Preferences
  3. Click Accounts
  4. Click the + in the lower-left and choose Exchange
  5. Type in the long version of your email address
  6. leave the method as "User Name and Password"
  7. For the User name enter : VIKING\username
  8. Type in your network/email password
  9. Uncheck the "Configure Automatically"
  10. Set the Server to: lumail.lawrence.edu
  11. Click Add Account and then close the Accounts window (it will save automatically)
  12. Wait about 20 seconds and the email will start showing up.

Option 4: Personal Computer IMAP Email Client (Students)

*Technology Services strongly recommends the use of WEBMAIL.*
Before you can configure an email client such as Thunderbird or MacMail on your personal computer, you will need an active Internet connection. Choose Corporate/Exchange as the type of account.

  1. Email Address: Enter your full Lawrence email address
  2. Password: Enter your LU password
  3. Incoming Mail Server: outlook.office365.com
  4. Incoming Mail Port: 993
  5. Incoming Mail SSL type: SSL/TLS
  6. Incoming Mail Authentication: Normal password (not Kerberos)
  7. Outgoing Mail Server: smtp.office365.com
  8. Outgoing Mail Port: 587
  9. Outgoing Mail SSL type: STARTTLS
  10. Outgoing Mail Authentication: Normal password (not Kerberos)
  11. In the username field enter your username@lawrence.edu (i.e. doej@lawrence.edu). If you have a problem sending emails change this to just your username (i.e. doej).

Option 5: Off Campus Email Access

There are a few options for accessing your Lawrence email account from off-campus. Technology Services strongly recommends the use of Webmail.

Option 6: Email Redirection

The following instructions will assist you in redirecting ALL your Lawrence email messages to another personal email account (such as G-Mail or Yahoo mail). Redirecting your mail is preferable over forwarding your mail. **Please note: 1) If the personal email account you redirect your mail to is deactivated or canceled at any time, you may not be able to recover your mail from the Lawrence mail server, and 2) Redirection will NOT allow you to see or reply to recipients of a received email message other than yourself. This is another reason why Technology Services specifically recommends that all students use webmail.**

Redirect Email Messages from Exchange via Webmail (Outlook Web Access)

  1. From your browser go to http://webmail.lawrence.edu/.
  2. Enter your username and password to log in.
  3. On the top right corner, click the gear icon and select Options from the drop down.
  4. Click Organize Email from left edge.
  5. Click Inbox Rules and click the + sign to add a rule.
  6. In the drop down window select create a new rule for arriving messages...
  7. In the Name field, type a name for the rule (for example "forward email")
  8. In the When the message arrives, and: field, select [Apply to all messages...]
  9. In the Do the following: field, select Redirect the message to...
  10. A new window will appear. in the search field search for the email address you want to redirect your mail to. Double-click the name/address to have it appear in the TO field.
  11. Click OK
  12. At the Warning window: "Do you want this rule to apply to all future messages?" Click Yes.
  13. At the second warning window click OK.

Option 6: Moving Lawrence Email to Gmail

These instructions are intended to help Lawrence University users move their existing Lawrence email to a personal email account using Microsoft Outlook.

NOTE: This process can be completed from ANY computer; on or off campus.  This process cannot be completed through Outlook web app or webmail.

In the instructions, we have used Gmail as an example.

Step 1: Setup-Adjust Gmail Account

  1. Create a Gmail account: If you already have a Gmail account skip to the next step. Otherwise, create a Gmail account at Gmail account.
  2. Set Gmail as "IMAP": For additional information on Gmail IMAP process see Gmail Support account.

On your computer, open Gmail.

    In the top right, click Settings, Settings and then See all settings.

    Click the Forwarding and POP/IMAP tab.

    In the "IMAP access" section, select Enable IMAP.

    Click Save Changes.

Step 2: Add Gmail to Outlook

There are 3 different ways to do this, select the right option for you.

Option 1: From a Lawrence-owned Windows computer

  1. Log into a Lawrence-owned windows computer that has Outlook. You can find these computers in the ITC lab of the Library (room 204).
  2. Go to Windows Icon (lower left corner of screen) - Outlook.
  3. After your Outlook profile has loaded (you may have to click next a few times.)
  4. Open your Outlook app then Go to File - Account Settings then Account Settings (again)
  5. The Email tab is currently selected, click New.
  6. A pop-up Auto Account Setup window will open.
  7. Complete the necessary fields for your Gmail information (name, personal email address and password) click Next the Finish and Close.
  8. If you are prompted to log back into your account with an IMAP pop up, do the following.
    1. Check your existing Gmail account.
    2. You should have received two emails from Google with the security alert subject line - one saying "A new sign in", and one saying "Security alert - Microsoft app and services". You don't have to open these emails to acknowledge anything UNLESS you think someone else is trying to access your account.
  9. Go back to your Outlook, you should see a second mailbox with your Gmail INBOX.
  10. To move emails from your Lawrence account to your personal account, drag and drop emails/folders from the Lawrence INBOX to your GMAIL account.

NOTE: DO NOT attempt to MOVE your entire Lawrence INBOX folder all at one time to your Gmail, move only individual emails or folders only.

Option 2: From ON or OFF Campus with a Windows device

  1. From your Windows device locate Office Outlook.
    1. If you have used Outlook before, skip to step 4.  If you have not used Outlook before, complete the required information and click Finish.
    2. If you need to download the Outlook App, please download it from your Offce365 account at https://webmail.lawrence.edu/.  
      1. Remember, log in using your username@lawrence.edu and your password.
      2. Click Install Apps from top right corner
      3. Follow prompts to install Microsoft Office
      4. Open Outlook and setup your Lawrence account.
  2. Open your Outlook app then Go to File - Account Settings - Account Settings
  3. Select the Email tab and click New.
  4. A pop-up Auto Account Setup window will appear.
  5. Complete the necessary fields with your GMAIL information (name, personal email address and password), click Next.
  6. Check your existing GMAIL account
    • From the GMAIL INBOX, locate an email that states Review Blocked sign-in attempt. Click on the Allowing access to less secure apps. (this is to allow your GMAIL account to be accessed by our LU Server)

    • From the Allow less secure apps prompt select  ON

  7. Click Finish.
  8. Click Close.
  9. Go back to Outlook. The window should have refresh automatically to show a second mailbox with your GMAIL INBOX listed.
  10. To move your Lawrence emails to your GMAIL account, drag and drop folders or individual emails that from from the Lawrence INBOX to your GMAIL account.

NOTE: DO NOT attempt to MOVE your entire Lawrence INBOX folder all at one time, move only individual emails or folders.

TROUBLESHOOTING: If you cannot click and drag and drop emails from your Lawrence inbox to your GMAIL inbox, try deleting and re-adding your Lawrence email account to Outlook. Once you've re-added the Lawrence email and your email looks completely uploaded, try to click and drag and drop emails again.

Option 3: From ON or OFF Campus with a Apple device

  1. From your MAC computer locate and open the Outlook App. (Note: If you have used Outlook before, skip to step 6)  If you need to download and install Outlook, please visit your Office 365 account at https://webmail.lawrence.edu/
    1. Remember, log in using username@lawrence.edu and password.
  2. Open the newly installed Outlook.
  3. A window will pop-up, enter your Lawrence University email address (username@lawrence.edu) click continue.
  4. Enter the domain\username (viking\username) and your Lawrence password. Click Add Account.
  5. If a box pops up asking if you want to allow the server to configure your settings; click Allow.
  6. If your account has been added correctly a green circle with a white check mark will appear.
  7. To add your GMAIL account click on globe icon located in top left corner, and then click "add another account”
  8. Enter your personal GMAIL account address and click Continue.
  9. Enter the password for your personal account.
  10. At this point Gmail may open in a browser and clicked your email and then “allow” which will led you back to outlook
  11. Once your personal account has been added, click Done
  12. Outlook will automatically refresh.
  13. Back in your Outlook INBOX, you should see a second mailbox with your GMAIL INBOX.
  14. To move emails from the Lawrence account, drag and drop folders or individual emails from the Lawrence INBOX to your personal account.

 NOTE: DO NOT attempt to MOVE your entire Lawrence INBOX folder all at one time to your Gmail, move only individual emails or folders only.

TROUBLESHOOTING: If you cannot click and drag and drop emails from your Lawrence inbox to your GMAIL inbox, try deleting and re-adding your Lawrence email account to Outlook. Once you've re-added the Lawrence email and your email looks completely uploaded, try to click and drag and drop emails again.
