Things to know about your email switching to Microsoft 365 Exchange Online

Voicemail Changes:

  • Voicemail messages will now be handled by Microsoft Teams instead of our local Exchange server.  
  • Your existing personal voicemail greeting will be moved to the new system and you will not need to re-record your greeting. 
  • You will no longer see an Voicemail light indicator on your phone, you will however still receive an email message of the voicemail.
  • You will manage voicemail settings from within the Microsoft Teams application.  See the voicemail section below for instructions.

Voicemail Instructions

  1. Voicemail Greetings are controlled and changeable through Teams

  2. From Teams go up the three little dots by the account picture on the top-right corner of the Teams window- click Settings

  3. Click on Calls from left edge.

  4. Click on Configure voicemail from the center panel

  5. Click on Record a greeting

Email access on Apple, Windows and Mobile Devices:

Technology Services strongly recommends the use of the Outlook email application on Apple and Windows computers as well as on all mobile devices.  Non-Outlook email clients may not properly support the necessary security configuration and may not work optimally or at all.

Apple or Android Devices:

  1.     From an Apple Device go to the App Store and download the Microsoft Outlook app
  2.     Open Microsoft Outlook app on your device
  3.     Type your email address, username@lawrence.edu
  4.     click Add Account
  5.     at the Open Authenticator prompt Open Authenticator
  6.     Enter your Lawrence password and click Sign In

INBOX Display Options:

Focus Inbox:

By default your INBOX is one tab. You now have the option to have a have a Focused inbox.  Meaning your Inbox is separated into two tabs—Focused and Other. Your most important email messages are on the Focused tab while the rest remain easily accessible—but out of the way—on the Other tab. you may see a yellow banner when your account is first migrated. It is asking if you want to turn on the Focus Inbox feature or not.

To turn on Focus Inbox manually: 

  1. from Outlook click on View-Show Focused Inbox

Conversation Threading:

A conversation includes all messages in the same thread with the same subject line. Within each Conversation, messages are sorted with the newest message on top. You cannot change this sort order.

When you receive a new message that’s part of a Conversation, the whole Conversation moves to the top of your message list.

  1. To display your email in "conversation " view click on View menu and then click the Show as Conversations.

Calendars:

  • During the transition period there will be times where you may not be able to view the calendar (free and busy time) of other faculty and staff.  This is a short term issue that will be resolved once everyone is migrated to the new system.
  • This migration will support the calendar integration with EAB Navigate making it easier for students to book time on faculty or staff calendars.

Your Status Indicator
From Teams, click on your account picture – Click the Status indicator. Use this to indicate your availability to your co-workers.

Mac Laptop & Desktops - Outlook Configuration Instructions

Mac users will need to do the following on their Lawrence issued laptop-desktop computer to re-configure the Outlook email client.

  1. From Outlook, click Outlook-Preferences
  2. Click on Accounts
  3. From the left side bar, select your account and click the minus (-) button at the bottom of the window.
  4. At the prompt to sign out, click Sign Out
  5. Click the Add Email Account
  6. At the pop-up enter your username@lawrence.edu for the email address. Click Continue
  7. Enter your password at the prompt.
